# 🕐How to log hours for a deactivated employee (en)

## This article shows you how to log or correct hours for an employee who is deactivated in Ditio, for example because their employment has ended.

**Do you have several companies or project companies?** Then the hours must be logged from the company the project belongs to. Switch to that company in the top right corner before you follow the steps below. The same applies when you edit or delete the hours.
---

### Why can't I find the employee?

An employee is deactivated in Ditio when their employment has an end date that has passed, or when the user has been deactivated from the payroll or HR system or by an administrator. Deactivated users are not shown in the normal lists, and you cannot select them when you log hours for others the usual way.

You don't need to reactivate the employee. Use **Hour editing** from the user page, as shown below.

---

### How to log hours for a deactivated employee

#### 1. Find the employee

1. Go to **Users** in the menu on the left.
2. Tick **Show inactive users** in the filter on the right. The employee now appears in the list, with access level **N/A**.

*With "Show inactive users" ticked, employees who are no longer active are also shown.*

💡 **Tip:** Search for the name to find the employee faster.

---

#### 2. Open Hour editing

1. Click the three dots **⋮** on the right of the employee's row.
2. Select **Hour editing**.

*Hour editing opens the employee's list of hours.*

---

#### 3. Log the hours

**Check the date before you click Create.** The new row is filled in automatically, often with the date of the last hour entry or with today's date. Choose a day when the person was employed. You can find the start and end date under **Employment** on the user.
---

1. At the bottom of the page there is a new row where the employee is already filled in.
2. Check the **date**, and change it to a day within the period the person was employed.
3. Fill in time, project, task and resource.
4. Click **Create**.

*The employee is filled in (green frame). Fill in the rest and click Create.*

💡 **Tip:** Enter the day in **From** and **To** at the top and click **Execute query**. The new row then gets the right date, and you only see the hours for that day.

### ℹ️Frequently asked questions

**Do I have to reactivate the employee to log hours?**

No. You don't need to change the employment or reactivate the user. Use Hour editing as described above.

**I get the message "User with … is deactivated in the company …" when I click Create.**

The project belongs to a different company than the one you are in. Switch to the company the project belongs to in the top right corner, and try again.

**Can I log hours after the end date?**

No, keep the hours within the period the person was employed. Hours after the end date mean the employment cannot be changed later until all days with hours are covered.

**I get the message "The following dates should be covered because the user has transactions on these days" when I change the end date.**

The employee has hours on days that fall outside the new period. Choose an end date that covers all days with hours, or correct the hours first.
