# 🕐How to add additions and overtime for an employee - Ditio Core Web (en)

## This article shows how to add overtime and additions for an employee, either from Hours or from Payroll.

### In short

1. You can add **overtime** and **additions** (such as a shift or travel allowance) in two ways: from **Hours** or from **Payroll**.
2. Both ways give the same result. Choose the one that suits your workflow.
3. Days that are **locked** in payroll cannot be changed.

---

**Good to know:** The overtime fields and additions are the pay types your company has set up. Their names and rates depend on your company's agreements and the rules in your country, and they are shown exactly as your company wrote them. The names in the screenshots (for example «Overtime 50%» or «Evening allowance 25%») are only examples.

### Method 1: From Hours

Use this when you go through the hours in the calendar and notice that something is missing.

#### Find the day and the employee

1. Click **Hours** under **PRODUCTION** in the menu on the left.
2. Go to the right day with the arrows, or pick a date in the calendar. Each employee has their own column.
3. Click **Addit. / Overtime +** under the employee's name.

*Hours is under PRODUCTION in the menu on the left.*

---

![](https://help.ditio.app/hs-fs/hubfs/image-png-Oct-20-2026-07-12-29-6316-AM.png?width=670&height=210&name=image-png-Oct-20-2026-07-12-29-6316-AM.png)

*Each employee has their own column.*

💡 **Tip:** If overtime or additions are already registered for the day, the values are shown instead of **Addit. / Overtime +**. Click a value to change it.

**Can't see Addit. / Overtime?** If the employee is still checked in and has no finished hours that day, the field is not shown yet. If the day is approved or locked in payroll, you can open the window, but you cannot change anything.
---

#### Fill in overtime and additions

The window has one section for each project the employee has hours on. Each section has **OVERTIME** (fields for number of hours) and **ADDITION** (a list of the additions your company has set up).

*One section per project.*

1. Enter the number of hours in the overtime fields. In the example, we enter 2 hours in **Overtime 50%** and 1 hour in **Overtime 100%**.
2. Click **Select addition** and tick one or more additions.
3. If an addition needs a quantity (for example hours), a separate field appears below it. Enter the quantity. Other additions are added with a quantity of 1, so you don't need to enter anything.
4. Click **Save**.

**Do you have to choose an overtime reason?** If the project is set up with **Require overtime reason**, a field for choosing an overtime reason appears when you enter overtime. You cannot save until you have chosen a reason. Some reasons also require a comment.

*You can tick several additions at once.*

---

*In this example, Evening allowance 25% gets a quantity field, while Production bonus is simply added. After you click Save, the overtime and additions are shown in the employee's column and included in payroll.*

---

### Method 2: From Payroll

Use this when you work on payroll for a period and notice that something is missing.

#### Get the payroll data

1. Click **Payroll** under **FINANCE** in the menu on the left.
2. Click the period button (**Choose period**) and choose a whole month or a week.
3. Click **Get data**.

*Payroll is under FINANCE in the menu on the left.*

---

![](https://help.ditio.app/hs-fs/hubfs/image-png-Oct-20-2026-07-14-05-7033-AM.png?width=670&height=469&name=image-png-Oct-20-2026-07-14-05-7033-AM.png)

*Once you have chosen, the button shows the name of the period.*

---

![](https://help.ditio.app/hs-fs/hubfs/image-png-Oct-20-2026-07-13-54-4878-AM.png?width=670&height=506&name=image-png-Oct-20-2026-07-13-54-4878-AM.png)

💡 **Tip:** The **Paid by the hour / Fixed salary / All** filter is set to **Paid by the hour** by default, so salaried employees are not shown. Choose **All** if you can't find the person you are looking for. Ditio remembers your last choice in your browser.

---

#### Add overtime for a day

1. Click the employee's name in the table.
2. The detail view shows the total for the period at the top. Further down, there is one row per day and project. If you only see week or project totals, click **Expand all days**.
3. Click the cell you want to change (for example **Overtime 50%** for Monday 19.10) and enter the number of hours.
4. Click **Save** at the bottom of the page. To undo, click **Cancel**.

*All employees in the period.*

![](https://help.ditio.app/hs-fs/hubfs/image-png-Oct-20-2026-07-14-43-3560-AM.png?width=670&height=358&name=image-png-Oct-20-2026-07-14-43-3560-AM.png)

*The detail view for one employee.*

![](https://help.ditio.app/hs-fs/hubfs/image-png-Oct-20-2026-07-14-32-1940-AM.png?width=670&height=141&name=image-png-Oct-20-2026-07-14-32-1940-AM.png)

*Ordinary hours go down from 2.75 to 0.75, while Total hours stay at 2.75.*

**Overtime is usually deducted from ordinary hours.** Whether this happens depends on how the pay type is set up. Pay types of the type «Overtime addition» are added on top, without deducting from ordinary hours.

### ℹ️Frequently asked questions

**Which overtime rates apply to us?**

That depends on your company. The overtime fields in Ditio are the pay types your company has set up, and the rates and rules come from your company's agreements and the laws in your country. Contact the person responsible for payroll in your company if you are unsure.

**Can I add both overtime and additions at the same time?**

Yes. In the window under Hours, you can fill in both before you save.

**I can't find the addition I need. Where do they come from?**

The additions and overtime fields are the pay types your company has set up under **Settings → Payroll → Payroll types**. If an addition is missing, contact the person responsible for payroll in your company.

**Why do I have to choose an overtime reason?**

The project is set up with **Require overtime reason**. You then have to choose a reason when you add overtime on that project. The reasons are set up under **Settings → Payroll → Overtime reasons**.

**The day is locked in payroll. Can I still change it?**

No. A locked day cannot be changed, either from Hours or from Payroll, and your company cannot unlock it. If a locked day needs to be corrected, contact Ditio Support.

**Can employees add overtime themselves?**

It depends on their role and your company's setup. If you are unsure, contact a Ditio administrator in your company.
